About the Position:
GP Consult is currently seeking a meticulous and dedicated Sales Administrator for the automotive sector. This role is pivotal in ensuring the smooth operation of the sales department, maintaining impeccable documentation, and adhering to compliance and quality standards.
Key Responsibilities:
As a Sales Administrator, you will play a vital role in supporting the sales team and ensuring efficient operations. Your responsibilities will encompass a wide range of tasks, including but not limited to:
Deal File Management: Effectively manage deal files for the sales team, ensuring all relevant documentation is correctly filed to meet the minimum requirements of Financial Advisory and Intermediary Services (FAIS) and company regulations.
Document Compliance: Maintain all essential bank documents in accordance with minimum FAIS and company requirements. Warranty Registrations: Ensure timely submission of warranty registrations for all sold vehicles, adhering to warranty policy and procedure.
Invoice Instructions: Accurately complete and submit invoice instructions after obtaining approval from the Dealer Principal. Activity Reports: Prepare and submit daily activity reports to the Dealer Principal.
Administrative Duties: Complete and submit all other documentation and administrative tasks as required by the Dealer Principal to maintain efficient operations. Purchase Requisitions: Accurately complete all purchase requisitions for sales staff and submit them in a timely manner after obtaining approval from the Dealer Principal.
Logistics Coordination: Collaborate with the logistics department to ensure the correct chassis/vehicle is ordered for sales staff once the order is received. Driver Support: Assist in controlling drivers and handling overtime claims. Marketing Assistance: Liaise with the marketing department to arrange essential marketing materials, customer gifts, and warranty booklets.
Customer Engagement: Issue customer gifts to sales staff as requested and maintain accurate control of gift inventory. Supplier Relations: Liaise with the Spartan workshop and sublet suppliers to ensure that all orders on vehicles are received and closed in a timely manner before invoicing.
Invoice Management: Ensure the prompt submission of all invoices for sublet suppliers for payment. Customer Support: Assist sales staff in communicating with customers, keeping them updated on their purchase progress, and addressing customer queries and documentation requirements for previously bought vehicles.
Database Maintenance: Maintain an up-to-date and accurate customer database. Reception Duties: Handle general receptionist and switchboard duties as required by management. Efficient Filing: Organize and maintain deal files in an efficient and accessible manner.
Minimum Requirements:
To excel in this role, you should meet the following qualifications and criteria:
Matric Certificate or Higher: A minimum educational requirement demonstrating your educational background. Sales and Marketing Qualification: A qualification in Sales and Marketing is advantageous and reflects your dedication to the field. Motor Industry Experience: A minimum of 1 to 5 years of experience in a similar role within the Motor Industry is essential.
