ABOUT THE PROCESSOR (SYSTEMS) POSITION
The Processor (Systems) is responsible for ensuring that operational and transactional information is captured, updated and maintained correctly within the organisation’s business systems.
The position supports several important business activities, including procurement administration, workshop operations, stock management, vehicle maintenance records and invoicing. Accurate information is essential because departments rely on system records to manage purchases, track assets, monitor vehicle availability and complete operational transactions.
The successful candidate will work with the Embrace ERP system and SharePoint to process requests, correct inaccurate information and maintain reliable records. The role also involves extracting and analysing information using Microsoft Excel to produce reports that help management monitor operational performance and identify discrepancies. In addition to processing daily transactions, the employee will provide administrative support to system users, respond to queries and help ensure that established procedures are followed.
KEY DUTIES AND RESPONSIBILITIES
1. System Processing and Data Management
The appointed candidate will handle various system transactions relating to purchase orders, workshop activities, stock records and operational information.
Responsibilities will include:
- Processing job card corrections, credits and cancellations.
- Managing goods received voucher (GRV) reversals where required.
- Processing purchase order cancellations and corrections.
- Completing daily purchase order receipting for assigned departments.
- Providing additional receipting assistance to National Workshop branches when necessary.
- Creating new product records and linking products to the appropriate warehouses and suppliers.
- Creating and maintaining tyre service article records.
- Updating vehicle and sub-serial service article information.
- Processing tyre purchase order receipts for factory deliveries.
- Recording vehicle and trailer hubometer replacements and related corrections.
- Updating sub-serial hour meter replacement information.
- Capturing national and cycle stock count information for tyres and parts.
These activities require careful attention to detail because incorrect entries can affect stock records, financial transactions and operational reporting.
2. Vehicle and Asset Information Maintenance
The Processor (Systems) will help maintain accurate vehicle and asset information within the company’s operational systems. This includes updating vehicle availability statuses on the Masterfile so that Business Units can open rental contracts when vehicles are available. The employee will also create sub-hire service articles that allow vehicle rental transactions to be processed within Business Unit departments.
Other responsibilities will involve updating vehicle, trailer and sub-serial asset information whenever replacements or corrections are required. Maintaining reliable asset records is important for tracking equipment, supporting workshop operations and ensuring that departments have access to accurate information when performing their duties.
3. SharePoint Requests and System Administration
The position includes responsibility for processing system-related requests submitted through SharePoint. The successful applicant will handle requests involving new systems, equipment and user access. Each request must be reviewed and processed according to the organisation’s established procedures. The employee must also maintain accurate records of requests received, actions completed and outstanding matters. Good organisational skills will be necessary to monitor requests, prioritise urgent tasks and ensure that updates are completed within the required timeframes.
4. Operational Reporting and Auditing
An important part of the role involves extracting, analysing and reconciling information from business systems. The employee will use Microsoft Excel, including advanced functions and Pivot Tables, to prepare operational reports and identify possible discrepancies.
Reporting duties include:
- Compiling monthly workshop statistics for vehicles and trailers.
- Preparing monthly correction audit reports.
- Producing weekly job card credit and outstanding re-invoicing reports.
- Preparing weekly transgression correction reports covering vehicles, trailers and sub-serial assets.

- Maintaining supporting records and documentation for reporting purposes.
5. CPK Billing and Invoicing
The Processor (Systems) will also support CPK billing activities by opening and processing orders accurately and within the required timeframes. Responsibilities include processing job card invoicing transactions and checking that billing information is supported by the correct documentation.
Where discrepancies are identified, the employee will investigate the information and carry out the appropriate system corrections or updates. Accuracy is particularly important in this area because billing errors can affect financial records and the company’s ability to reconcile transactions correctly.
6. Training Administration Support

Additional duties include:
